How to Use HoneyBook Templates to Book Clients on Autopilot

If you’re using HoneyBook and still manually write emails or build proposals from scratch every time, you’re doing it wrong. HoneyBook templates, especially the proposal ones, can save you hours of admin time and help you book dream clients on autopilot. In this post, I’m sharing exactly how I use HoneyBook templates in my photography business (plus a free proposal template you can start using today).
What are HoneyBook Templates?
HoneyBook templates are pre-built forms, emails, contracts, and proposals you can reuse instead of starting from scratch every time. They help streamline your client workflow form the first inquiry to the final payment.
How to Use Proposal Templates in HoneyBook
Inside HoneyBook, you can create “smart files” like proposals, invoices, and contracts. I’ve created a plug and play proposal template that walks my potential clients through the entire photography experience with me, allows them to book their date on my calendar, and schedule an engagement session as soon as they sign their contract and pay the retainer fee.
Here’s what my 8 step booking proposal in HoneyBook looks like:
1. Welcome and Congratulations
The first page of my booking proposal is the “Welcome and Congratulations” page. This helps build a connection with my couples by sharing some information about myself. Then, I share what they can expect from me as their wedding photographer (basically how I’m different from other photographers). And lastly, I share a testimonial at the bottom of the page that backs up all the claims I made about myself throughout the page.
I also love that little reminder in the bottom right corner about the proposal expiring in a few days. It gives your clients a nudge to reach a decision, and if they are not interested, you’ll know to free up that date for the next inquiry. It’s very common for photographers to receive multiple inquiries for the same date, so this is helpful all around.
2. The Experience
Here I share a little bit about the wedding experience I offer, from booking their date on my calendar to delivering their wedding gallery, and everything in between. Here’s what that looks like!
3. The Wedding Collections
This page is all about the wedding collections I offer. They have the option to select the one that works best for their wedding and budget.
4. Optional Add-Ons
This is a great way to tease a bridal session or wedding album without being too pushy or salesy. If they know that they would like those things included in their collection, then they can add them to their booking with one click. If they are not ready yet, they now know that these options are available to them between now and their wedding day.
5. Contract
Now that they’ve selected their package and add-ons, it’s time to secure their selections with a contract. HoneyBook has a free contract template you can use. However, I invested in this wedding contract from the LawTog for peace of mind.
6. Invoice
After they sign the contract, they are presented with an invoice based on the services they selected.
7. Payment
After they review the invoice, they will be able to pay it on the payment page. You can split it into as many payments as you’d like. I do a retainer fee of $1,500 with the remaining balance due 30 days before the wedding.
8. Schedule Engagement Session
This is one of my favorite things that HoneyBook offers. After they’ve secured their date on my calendar, they are prompted to schedule their engagement session with just one click. HoneyBook has a “scheduler” that allows you to set the times and days you’re available for sessions. This eliminates so much back and forth email communication and saves me so much time.
And that’s it! This is my HoneyBook proposal template that I use to book clients without the hassle. I simply attach the link to my proposal in my original email to the clients and let HoneyBook do the rest. It’s truly been a life saver!
